Gotes Corporate Operations Specialist & Customer Service Agent CM

Functions

End-to-end production management for key B2B customers (Gotes):

• Comprehensive order management: receiving, entering into SAP and coordinating production.
• Inventory control and raw material requirements.
• Coordination with the laboratory and production plant.
• Preparation of necessary documentation for goods dispatch.
• Support/supervision of customer invoicing.

Customer search and commercial management (Gotes):

• Support in prospecting B2B customers for Gotes, mainly companies interested in the packaging process for their products.
• Tracking opportunities through CRM to achieve conversion.
• Participation in key account follow-up meetings.

Sales and marketing platform management (Gotes):

• Management of the online store and Amazon store: product registration, stock, content maintenance, blog entries.
• Support in tracking key metrics.
• Collaboration with the innovation and/or product development areas.

Customer Service (Contract Manufacturing Lluch):

• Customer representative within the organisation: intermediary service between customers and other company departments.
• Providing a high level of service by responding to customer queries via email and telephone.
• Ensuring proactive communication with customers: deadlines, delays, stock availability, etc.
• Support and resolution of customer complaints, incidents and returns.

Order and Stock Management (Contract Manufacturing Lluch):

• Receipt, management and registration of sales orders in SAP: creation, confirmation, tracking and stock updates within the order until dispatch.
• Stock control: analysis and control of incoming stock in the warehouse, giving the date and correct allocation in open orders.
• Management and tracking of sample orders according to their type.
• Consolidation of parcel deliveries according to current orders.
• Creation of customer contracts in the system. Periodic review of reservations to ensure stock availability.
• Search for and/or management of operational synergies between both companies in the group.

Communication and Documentation (Contract Manufacturing Lluch):

• Maintain and update the customer database.
• Ensuring proactive communication with customers: deadlines, delays, stock availability and missing items.
• Managing the sending of specific documents requested by customers: certificates of origin, proforma invoices, etc.
• Represent customers within the organisation: act as an intermediary between customers and other departments within the organisation.

Internal and External Regulations (Contract Manufacturing Lluch):

• Comply with and ensure compliance with general and specific regulations, procedures and instructions on occupational risk prevention and the environment, food safety and GMPs, as well as promoting them in your area and workplace.
• Understand and apply the Emergency Plan.
• Ensure proper waste segregation.

Analysis and Reports (Gotes & Contract Manufacturing Lluch):

• Prepare reports on account monitoring, forecasts, and progress towards objectives.
• Coordinate improvements to operational processes and use of digital tools.

Requirements

Education:
• University degree in Business, Industrial Engineering, Chemical Engineering or similar

Specific Knowledge:

• Advanced knowledge of the Office suite.
• Knowledge of SAP.
• Knowledge of the Adobe suite.

Complementary Knowledge:

• Project management skills.
• Knowledge of nomenclature in the aroma/fragrance, chemical or similar sector.
• Postgraduate degree in Perfumes and Fragrances, Market and Applications or Isipca.
